Scanners with PPSS

Scanners are input devices like keyboards

2D Scanners are '2-dimensional' making them capable of reading the 2-D barcodes on driver licenses. They can also read standard price-label barcodes.

Barcode Scanners scan price-label barcodes at checkout to populate invoices with information about items being purchased. They can also be used to find a inventory record in PPSS.

Finger Scanners scan finger and thumb prints which are stored in PPSS for record, reference and reporting.

Barcode Scanners

Barcode scanners are universal input devices like keyboards. Any barcode scanner 'should work' with PPSS.

Out of the box, plug the scanner into any USB port, open Notepad and scan an existing barcode. The scanner should beep and the barcode number (only) should appear in Notepad. If not call POS-X 800-790-8657 for free help.

For most stores wireless scanners are impractical and an unnecessary expense. Scanning takes place at POS stations and there's usually no need for 'mobility'. Of course a scanner connected to a laptop achieves 'mobility'.

Cash Drawers

Locked cash drawers store valuable at POS.

Cash drawers (sometimes called 'tills') pop open when a receipt prints BUT shops selling used merchandise often have 'no-return policies' making the printing of receipts a waste of hardware ($334), paper ($300/year) and effort.

With PPSS, the receipt printer can be replaced by a special adapter for the cash drawer which connects the drawer directly to the computer.

The drawer can be opened with the key of course, and it can be opened by pressing a secret key on the keyboard.

The drawer will not open for credit-card and PayPal sales, eliminating the annoyance and added effort. It does open for all other payment types (cash, check, etc.) that require placing something in the drawer.

Electronic Fingerprints

PPSS reads fingerprints (for pawn records) using the SecuGen Hamster IV fingerprint reader.


How to Use the Fingerprint Reader with PPSS 24k -

  1. Access the reader functions from the New or Edit-Client windows.
  2. Click on 'Open Finger' to connect to the device.
  3. A pop-up window will open. Click 'Enroll' and have the customer place his/her finger or thumb on the reader.
  4. For payment or redemption, edit the client record to open it, click 'Verify Finger Print Match' and have the customer place his/her finger or thumb on the reader.
    • When 'Enroll' or 'Verify Finger Print Match' are selected, instructions will appear as reminders of how to proceed.
    • The customer should, as nearly as possible, place the finger the same way for verifying as they did for enrolling.
    • Error 515 when verifying means that the finger is not placed correctly.
    • Always scan the same finger or thumb for everyone.

The enroll function reads the same finger twice. If there's a mismatch, click back to the reader-interface window rather than attempt to continue from the input window.

Instructions are included with the scanner describing correct positioning of the finger or thumb on the reader. This is important for both enrolling and verifying a fingerprint. Shop employees should try this to see how sensitive this is, and to verify that they can get a Verify Match reading when it is done right.

The component will read any of the ten fingers. Specify which you want to read in the reader-interface window. PPSS will record only the last fingerprint read.


About the SecuGen Hampster IV Reader

The reader (scanner) is an optical-sensing single-finger capture device certified by the FBI as a PIV (Personal Identity Verification), and as a Biometric Device certified for UID (Unique Item Identification) Applications according to STQC (Standardization Testing and Quality Certification).

Fine tune the scanner to fit the needs of either high or low security. Increasing security can increase the rejection of fingerprint minutiae data (the False Rejection Rate or FRR). To increase the acceptance rate, improve ambient lighting, climate, and/or user skill. The effect of a high FRR is usually nothing more than inconvenience to users, but if security is set too low, the False Acceptance Rate (FAR) may increase - not really an issue with pawn shops just wanting to record fingerprints. (The FAR and FRR vary widely among different types and makes of biometric systems.)

SecuGen devices also protect against latent fingerprints left on the sensor surface and "faked" 2-D fingerprints, (such as photocopies or photographs) - features previously available in more expensive and highly-specialized ultrasound technologies.

Anyone in the shop using the device should be required to read the User's Guide front to back.

Troubleshooting

Error 515: Finger is not placed correctly when verifying. Employees should try this to see how sensitive this is, and to verify that they can get a Verify-Match Reading when it is done right.

Ink Printers

Ink printers print labels, tags, tickets, receipts, checks and reports on 8 x 11 stock.

Ink printers (LaserJet, bubblejet, inkjet, AllinOne, Dot Matrix) are universal and all work with PPSS to print in black and white.

Price labels and hang tags are available on 8 x 11 sheets. Some stores print labels on heavier-stock paper and cut them out. Others print adhesive labels and stick them on customized hang tags.

Ink printers are cheap but the ink cartridges are not and they don't last long.

Inherent issues with these printers are out-of-ink runs, paper jams, smeared barcodes and partially-used sheets of labels. A PPSS feature allows for a partial sheet to be fed and start printing on the next available label. Example: 30 labels per sheet and 10 labels printed, leaving 20 labels. Options are to feed the used portion and tell the program to start printing on label #11, or feed the unused end of the sheet and print 20 labels.

The only clear advantage of ink printers is the low cost of the printer - purposely designed to get them into the hands of users to sell ink cartridges. If you must go this route, opt for an AllinOne fax, copier, printer and scanner for utility. Better brands are HP, Brother, Epson and Canon.

After a few weeks of printing sheet labels and tags, most stores upgrade to PPSS Diamond or PPSS 24k and thermal-label printing.

Adjust Print Position

All ink printers behave differently. The program will send the same commands and settings to Windows which relays the print jobs to printers. Because there is no uniformity between printer manufacturers, the program allows for margins and row space to be changed to make print fall in the correct places.

On the Labels screen, the settings appear at the lower-left:

Thermal Label Printers

Thermal Label printers burn print onto labels and tags - no 'ink cartridges'...

Any printer must be 'installed' on the computer to which it is attached. Use the link below (Software Driver) to download the installation file for the TSC 244 printer.

It's a fact: A thermal label printer ($379) costs almost 10x an ink printer, but over time and printing thousands of labels, the cost per label is less and the aggravation is way less. On average labels on rolls are cheaper than labels on sheets, partly because there's less waste.

Labels are printed from rolls. It's incredibly easy to print just one label or a thousand. There are no out-of-ink runs. The thermal print head lasts 'forever'.

Sheet labels are limited to 3 sizes, 2 adhesive and 1 tag. Thermal labels and PPSS make 12 options available, including a 2.25 x .5 jewelry label:

Software Driver

TSC Installation and Self Test

The Quick-Start Guide and User's Guide are available online, as well as downloads for manuals, drivers, installation video and Windows dynamic library.

  1. Insert the disk, click Open (Not Run) and follow the prompts. Select the folder with drivers.
  2. If the installation disk is not available, download and save the driver to the Desktop.
  3. Click on the saved file to begin the installation (or insert the CD to start the installation).
  4. Click on Run.
  5. Accept the terms of the license agreement.
  6. Accept the default location for the installation (C:\Seagull).
  7. Leave both options checked on the Installation-Information screen and click Finish.
  8. On the Driver Wizard, leave 'Install printer drivers' selected and click Next.
  9. Select TSC TDP-244, 245 or 247 and click Next. (The computer may take several seconds to respond.)
  10. Select USB for the port and click Next.
  11. Remove the check from 'Use this printer as the default printer'. Leave others settings as they are and click Next.
  12. Click Finish then Close.
  13. Make sure the printer is connected to the PC, has labels loaded and is turned on.
  14. Go to Start, Control Panel, Devices and Printers.
  15. Right click on the printer listing and select Printer Properties.
  16. Click on Print Test Page. If a label doesn't print, see TSC Troubleshooting or call TSC free support (657-220-7995). (Please do not call PPSS Support because this is not a PPSS issue.)

Test the Printer with PPSS

Proceed only if the printer self test was successful:

  1. In PPSS, for testing, have at least one inventory item entered (with a quantity of 1).
  2. On the Main Menu, select File (then Program Setup):

  3. Click on the Inventory tab:

    These printing options may be selected on the Inventory screen:

    • Print barcodes
    • Print 'Date In' (the date an item was added to inventory)
    • Print pawn ticket numbers on thermal price labels
    • Print shop name on larger labels
    • Print User-Defined Groups on larger labels
    • Click Save.

      Barcodes can be printed on all labels. Of course some labels are too small for barcodes plus all other information. 'Shop name' takes up a fair amount of room. It is possible to reduce the size of print (the font size) on the Printers tab here in Program Setup.

  4. Select the Printers tab:

    • Select the TSC (or Zebra) printer from the drop-down menu. (If the printer isn't listed, install the printer.)
    • Check the box if the TSC 225 or Zebra 2824 is being used. (Only horizontal labels measuring 2.25" wide can be used.)
    • Note that font size can be changed for the stub and tear-off sections of a 2-part label:
    • Select the appropriate label type (adhesive) or (non-adhesive 'Hang Tag') and size (or select the Jewelry Butterfly label).

      The label choices here must match exactly the type and size of label loaded in the printer.


      Be careful when selecting 2.25 x 1.25. Both adhesive and non-adhesive are available in that size.

    • Place a check in 'Check this box to include barcodes...' if barcodes are to be printed.
    • Click Save/Exit.
  5. On the Main Menu click on Labels.
  6. Make sure 'Thermal Labels' is selected under Style:
  7. Click on Select Labels to Print.

  8. Check an item and click OK. The label should print. If it does not, refer to TSC Troubleshooting.

Reset the Printer and PPSS After Changing Labels

  1. Change the label in the printer.
  2. Change the label selection in PPSS (Printers tab).
  3. Click Save/Exit.
  4. Close PPSS and reopen it.

It should not be necessary to make changes in printer settings when changing labels but if labels are not printing correctly, watch the Calibration Video, or use the TSC Diagnostic Tool to 'calibrate' the printer.


Controlling TSC Print Position

As labels pass through the TSC printer, the printer 'senses' label size and type. If there's a gap between labels, the printer 'should' know that the label is adhesive. If there's a black line on the back of the roll of labels, the printer 'should' know that the label is a non-adhesive hang tag. (

The TSC line of printers is the best available, but they are still pieces of equipment subject to defects, aging and failures, hence 'should'.

Important: Print jobs do not pass from PPSS to the printer but are routed through Windows. Windows and the printer can get 'confused' fairly easily, making it necessary to frequently turn the printer off/on (to clear Windows and printer settings). Sometimes a computer reboot is needed to clear Window's head.

The TSC Diagnostic Tool

For shops with good karma, the TSC printer works as expected with PPSS. Fully 9 times out 10, unexpected print results are the product of improper use. See troubleshooting.

  1. Download the Diagnostic Tool.
  2. Your browser will send the file to the downloads folder, or it may present the downloaded file: (DiagTool_V1.63.exe).
  3. Click on (DiagTool_V1.63.exe) and choose 'Run'.
  4. If printer is on and connected to the PC, this screen will appear with information about the printer:

  5. If values aren't showing, click 'Get' to obtain printer settings:
  6. Still no values? The printer probably needs to be installed, or reinstalled correctly.

  7. There are four tabbed screens ('Features tab'): Printer Configuration, File Manager, Bitmap Font Manager and Command Tool:
  8. Set the label size (length x width).
  9. Change the Media Sensor to Gap (for adhesive labels) or Black Mark (for non-adhesive labels). Check the label to see if there is a gap between labels (adhesive) or a black line separately labels (non-adhesive).
  10. Click 'Set' to record the settings.
  11. Send a test label to the printer.
  12. Change the label size in PPSS Program setup.
  13. Close PPSS and re-open.
  14. Print a couple of sample labels to test for correct print position. If the labels are 'slightly off' print two more to see if the printer adjusts.
  15. The X axis controls left-right print position and Y axis controls up-down print position. To move print on a label down, enter 20 for 'Shift X', Set and print labels in PPSS.

About the 1.19 x 3.38 label

There are 3 components involved in the printing of a label: PPSS, Windows and the printer:

  1. PPSS will send the print job that the user specified on the labels screen.

    The label setting must be 1.19 x 3.38 and 'Thermal' must be set for Label Style.

  2. Windows must transfer the instructions correctly.

    If a different label was used previously, close/reopen PPSS to break the handshake with Windows. Otherwise Windows may continue to send instructions to the printer based upon the previous label settings.

  3. The printer must interpret and execute instructions correctly.

    Printers are miraculous pieces of equipment that may be perfected in years to come. The printers we have to work with today are homes to Gremlins and they are subject to faulty manufacture, aging and breaking, making it necessary to 'control' them with 'tweaks'.

The TSC Diagnostic Tool

If the 1.19 x 3.38 label is not printing as expect 'out of the box', it may be necessary to make settings similar to these in the Diagnostic Tool:

The Paper Width is actually the width of the label itself, not the width of the paper roll. The difference is that there are two labels side by side as opposed to one label spanning the width of the roll.

Media Sensor is the black mark across the back of non-adhesive labels (or the gap between adhesive labels) which lets the printer know the start and end of each label. Note that this label is non-adhesive and 'Media Sensor' should be set to 'Black Mark' but being imperfect, the printer seems to work better with this parameter set on Gap.

It might be necessary to experiment with various values for Gap and Gap Offset to achieve precise print position.

A positive value in Shift X will move print down.

A positive value in Shirt Y will move print away from the tear-off perforation.

If labels are printing too high on the 1.9 label, enter a value of -20 for the X axis.

This label prints 'vertically'. All other labels print horizontally so the X axis controls left-right print position and Y axis controls up-down print position.


2. Use the Power-on Utilities

There are three power-on utilities to set up and test hardware. These utilities are activated by pressing the FEED or PAUSE button and turning the printer on simultaneously. The utilities are listed as below:

  • Self Test
  • Gap-Sensor Calibration
  • Printer Initialization

Note: Please refer to the Calibration Video.


Reset Utility

Install the label first. Press the FEED button and then turn the printer on. Do not release the FEED button until the printer feeds labels. The printer does the following:

  • Calibrates label pitch
  • Prints thermal print head check pattern
  • Prints internal settings
  • Enters dump mode

Please refer to the TSC manual, section 3.5 "Self Test" and section 3.6 "Dump Mode" for more information.


Gap-Sensor-Calibration Utility

There is a 'gap' between labels which the printer 'senses' to know where labels start and end.

The gap-sensor utility calibrates the printer's sensitivity for the gap. This may be necessary for two reasons:

  • Reset the printer for a new media type
  • Initialize the printer

Note: The ERR. LED may flash if the gap sensor is not calibrated.

Follow these steps to calibrate the gap sensor:

  1. Turn off the printer power and install blank labels (without any logo or character) on printer.
  2. Hold down the PAUSE button then turn on printer power.
  3. Release PAUSE button when the printer feeds labels. Do not turn off printer power until the printer stops and two green LEDs light on.

Note: Thermal hang tags are not separated by a gap, but by a black line. The black-mark sensor has fixed sensitivity and doesn't require calibration.

Printer Initialization

Printer initialization sets printer parameters to default values. It will not clear downloaded files resident in flash memory.

Follow the steps below to initialize the printer:

  1. Turn the printer off.
  2. Hold down the PAUSE and FEED buttons and turn the printer on.
  3. Release the buttons when the three LEDs flash (in turn).
  • Printing method (thermal transfer or thermal direct printing ) will be set automatically at the activation of printer power.
  • When printer initialization is done, sensor sensitivity is reset to default. Sensor calibration is required before printing labels.
  • Download files will not be deleted after printer initialization. For more information about deleting files, please refer to TSPL2 programming manual KILL command.

There are 3 programs involved in producing correctly-printed price labels. The 'core' program is Windows. The TSC software and the PPSS software are installed 'on' the Windows Operating System. All 3 programs must 'get it right' for correct labels to be printed. When things go sideways, it is often because the Windows or TSC software have gotten confused. Reboot Windows and turn the printer off and back on periodically to refresh.


TSC Troubleshooting

Laptops: Use the same USB port each time. If the port is changed go to Start then Devices and Printers. Right click on the TSC, select printer properties and go to the ports tab. There should be another virtual printer port on the list. Select that one and the printer should print barring any other complications.

Desktops: Use USB ports on the back of the computer. They have more power than USB ports on the front of the PC.

The Print Light must be green.


Labels Won't Print

If the printer doesn't print after it has been plugged in, connected to the computer, and has labels loaded -

  1. The green light must be on. If the light is red, turn the printer off/on. If that doesn't clear it, check how the paper is loaded, try a different USB port or call TSC for free help, 657-220-7995.
  2. Go to Start, Control Panel, Devices and Printers.
  3. If TSC 244, 245 or 247 (or Zebra) is not listed, install the TSC printer driver.
  4. Double click on the printer listing. If there are print jobs listed, right click in the box in a white area and select 'Cancel All Documents'. Sometimes it's necessary to turn the printer off/on to clear print jobs.
  5. Right click on the listing for TSC printer and select Printer Properties.
  6. Press 'Print Test Page'. A label should print with a logo and some lettering.
  7. If not, click on the Ports Tab and verify that the USB port is selected. If not, select a USB option and click Apply at the bottom.
  8. Click on the General tab and attempt a test print again.
  9. If the test page does not print, unplug the USB cable from the printer and computer and reconnect. Confirm that the printer is on, labels are loaded and the green light is on. Try again.
  10. No luck? Call TSC at 657-220-7995 for free support. Let them know that the self test failed. Also refer to page 35 of the TSC User's Guide for troubleshooting suggestions.

The printer must pass a self test before it can be used with PPSS.



Dymo LabelWriter 450

Before a printer can be used with the program it must be able to print a self test successfully. If that isn't happening, Please call Dymo at 1 (877) 289-3966. For paid support call PPSS 888-427-5779.

PPSS is configured to work with the Dymo 450 family of label printers, including the Twin Turbo (which allows for two different labels to be used simultaneously).

Dymo printers are not recommended. As can be expected with a $99 printer competing with $300+ thermal label printers, issues are more common. The most common complaint is 'it worked for a while then stopped working'. PPSS does not recommend or support Dymo printers.

These are the adhesive labels that can be use:

Once a Dymo printer has passed a self test:

  1. In PPSS, go to File (upper left in the program) then Program Setup.
  2. Click on the printers tab.
  3. At the bottom of the page, in the Label-Printer section, use the dropdown menu and select DYMO LabelWriter 450 (or the actual name of your Dymo printer).
  4. Make sure this option is not checked:
  5. Select the label size. (Only these sizes will work with PPSS.)
  6. Check the box if barcodes are to be printed on labels and tags:
  7. Click on Save/Exit.
  8. Close PPSS and reopen it.
  9. At the top of the screen, select Labels.
  10. Check 'Thermal Labels'. (It is required that this option be selected. The other five options are for sheet labels.)
  11. Confirm that the correct label has been chosen.
  12. To test the printer, click on Select Labels to Print:
  13. Select 3 labels from the list. (Inventory items must have been entered in the program for items to be listed.)
  14. Click OK. If all is well, labels should print.

Dymo Troubleshooting

If labels don't print correctly, measure the label loaded in the printer and compare the size to that selected in PPSS. If the label size is changed in PPSS, close the program, reopen it and try again.

PPSS supports the use of working Dymo printers. Before a printer can be used with the program it must print a self test successfully. If that isn't happening, Please call Dymo at (877) 289-3966.

Dymo offers this caveat@ http://lwfix.dymo.com/EN/index.html: "Some LabelWriter printers manufactured after April 1, 2014 will not properly install on Windows® 7 PCs when attached to a USB 3.0 port. DYMO has developed an update that will fix this problem on these printers."

Zebra Label Printers

Before a printer can be used with the program it must be able to print a self test successfully. If that isn't happening, Please ask Zebra support for help, https://www.zebra.com/us/en/support-downloads/printers.html. For paid support call PPSS 888-427-5779.

Pawnbroker Pawn Shop Software was originally configured to work with Zebra printers and it still does; however, they are no longer recommended (or supported) because of a long history of issues and difficulty of use. Current Zebra models may work better than the older LP 2844 or 2824 and if you have one, install the software for it, chose the printer in Program Setup > Printers in PPSS and attempt to use it. Our tech support will require a nonrefundable prepayment to attempt to force a Zebra printer to 'work'. Most printers will work but tech support cannot be financially responsible for decisions to bring Zebra printers into work places, especially those that are used or refurbished. The recommended printer is the TSC 244.


Thermal Labels Troubleshooting

There is no print preview for thermal labels. If a print preview appears, the most likely cause is that 'Thermal' is not selected as the Style on the Labels Screen:


Labels Printing Too High or Low: Each time labels are changed, close PPSS and reopen it to break the handshake with Windows. Turn the printer off, hold the feed button down and turn it back on. The printer will feed 2 labels and calibrate itself, meaning that by feeding the label it will learn the new label size and type (adhesive label or non-adhesive hang tag).


When loading labels the perforation should be just under the lip of the clam shell with the colored border barely showing. Printing one label should position the next label correctly using the vertical 1.19 x 3.38 label. Watch the Calibration Video.


Labels Won't Print

Print jobs are sent from PPSS to Windows (not directly to the printer). After changing the label in the printer, change the settings in PPSS, then close the program and reopen so Windows will recognize the change.

The most common error using PPSS is that 'Thermal Labels' is not selected either in Program Setup > Printers Tab or on the Labels Screen. The other five options (Barcodes, Detailed Labels, Hang Tags, Medium Labels, Small Labels) pertain to sheet labels and cannot be selected for thermal labels):

  • In PPSS on the Labels Screen, labels won't print for items with quantity of zero if 'Quantity Greater Than 0' is checked (at the top).
  • On the Labels Screen, labels won't print for items that are excluded by any filters that are set.
  • Multiple labels for the same item won't print if 'Label Quantity = Item Quantity' is not checked. (lower left on the Labels Screen)
  • Bar codes won't print if 'Check this box to include barcodes on price labels' is not check (Program Setup, Printers tab)
  • Complete Discount Dates and Prices can only be printed on labels that are large enough. They cannot be printed on jewelry labels or 2 x 1 labels.
  • If the Discount Schedule is being printed on the price label, it is because 'Show discount price schedule on pricing labels' is selected in Program Setup, Inventory. The first price in the Discount Schedule is the Current Price.

  • Print is Cropped

    In Program Setup on the Printers tab, choose smaller font sizes for tear-off and/or stub settings.


    Label Skip is often caused by a difference between the label loaded in the printer and the label designated in PPSS. To the printer, there is a significant difference between the 2.25 x 1.25 and the 2.25 x 1.38, or between the 2.25 adhesive and 2.25 non-adhesive.

    States are gradually transitioning from magnetic strips to 2D codes on the back of drivers licenses.

    With 50 states involved, there are plenty of variables:

    • Allegedly GA and TX don't allow anyone but police to scan licenses.
    • The information embedded in the barcodes varies.
    • The format of entries varies. (One state might output height has 75 inches while another will output the same height as 6-3.)

    With several million people involved, the scan results vary widely. Of course fake and damaged IDs won't scan and stolen IDs won't record correct information about the person in front of you.


    Populate the New-Client Screen in PPSS 24k Edition by Scanning Drivers Licenses.

    In Georgia? Please verify with the state that GA licenses can be scanned.

    State licenses with a magnetic strip on the back can be scanned with a magnetic-strip reader to populate the new-client screen with the client's information. With the New-Client Screen open, select 'Magnetic' then click in the Drivers-License Box to the right -


    ...and scan a drivers license to auto enter the client's name, address, DOB and license #. Other information may be available depending upon the information each state includes in the magnetic strip.

    Types of Scanners

    These are the scanners that work with PPSS. Other scanners 'might work' but used scanners and scanners purchased elsewhere are not recommended or supported by PPSS.

    The XM95 is a 3-track MSR designed to read magnetically-encoded drivers licenses bi-directionally.     Duplicate ID

    A change was made to allow the Client ID to be edited. This added flexibility and control and it also added the possibility of duplicate Client IDs, causing the program to issue a warning about duplication. Fix the issue:

    1. Sort the ID column.
    2. Note the highest number.
    3. Open the New-Client Screen
    4. Enter the next-higher number for the ID.

    New-Client Records

    Warning Do not use quotations marks or hyphens in any data-entry fields in the program.

    If numbers are being used for Client IDs (not recommended) the next available ID # is auto-entered.

    A client record can be marked as 'inactive' and will NOT appear in lists and reports if this box in Program Setup > Clients is NOT checked:

    To save a record in PPSS, it is only necessary to add the name of the client. Other details may be entered later by editing the record.


    Add a New Client Record

    1. To add a new client record, press F5 or select New Client in the Clients Menu:
    2. Enter contact information. The city and state names and zip code entered in Program Setup > Clients will appear in those fields and can be changed.
    3. Select Race, Eye and Hair Colors and enter Height and Weight. Check Male or Female. Complete any other information required.
    4. Use the drop-down menus to select ID Types and enter the ID numbers in the spaces provided.
    5. Enter as much information as desired. Enter a birth date and check Send Mailings, Is Bad Guy, Is Consignor Too and Payment Reminders if applicable. (Flag a person as a 'bad guy' to give others working in the store a heads up on people who might be dangerous, dishonest, etc.)
    6. Add a picture. Check with local authorities to see if this is required.
    7. Click the Employer tab to enter that information if required. This can be left blank.
    8. Click on the tabs at the top for Notes and enter comments (for shop eyes only).
    9. Click OK to save the current entries and quit, or press F5 to save current entries and add another client.

    If the client is active military, it will be necessary to comply with Military Lending Act which includes features in PPSS for the military.

    For Height: Use any of these formats: 5 9 or 5,9 or 5-9. Do not use quotation marks. Check with local law enforcement and L.E.A.D.S. for formats if you are required to report to either agency. For Mecklenburg County the format must be 509 - no spaces or punctuation.

    Identifying Marks are body markings like scars, tattoos, etc.


    User Text

    Any 'string of characters' may be entered as 'User Text' to uniquely identify and later find or group Clients.

    For example, enter 'best' in this field for your 'best customers'. Later on create a Report and use the User-Text as the search parameter, entering 'best' (without quotes) as the 'search criteria'.

    Edit an Existing Client Record

    Batch Edit is for editing item records, not client records.

    Double click on a Client Record to open its Edit Screen.

    Change any information or add Notes then click OK to save changes. Note that a Client may be marked as Inactive (by removing the check from 'Client is Inactive'). When grouping customers later on (for printing address labels, for example) Inactive Clients will be excluded by choosing to include Active Clients only (on the Report Screen).

    Thermal Receipt Printers

    Receipt printers print 3" sales receipts - never labels.




    Receipt printers print receipts - not price labels and hang tags.

    Stores selling used merchandise usually have 'no-return policies' so printing receipts is a waste of the expenses of the printer, paper and the hassle of printing receipts.

    If a purchaser requests a receipt, of course, a receipt could be hand written, or one can be printed in Excel's Invoice Format with PPSS and an ink printer:

    1. In PPSS click on File (upper left in the program) then Program Setup.
    2. Click on the Printers tab.
    3. For 'Ink Printer' use the drop-down menu to select the ink printer:

    4. Select Save/Exit.
    5. In the Sales Work Area, select a sale then choose Print Receipt (lower-left menu), or
    6. When entering a new sale, click on 'Save, Preview, Print' to view a preview of the receipt then click on the printer icon to print the receipt.

    1. Software must be programmed to work with specific makes/models of receipt printers. Cheap/used/refurbished printers are available and not recommended or supported by PPSS. Make sure the provider of the seller provides support.

    Software Driver Manual

    Each printer is shipped with a manual, sample roll paper, a USB cable and an AC power adapter. Shipping is free in the lower 48 states and Canada. Additional shipping charges may apply elsewhere.

    PPSS Deluxe, Diamond and 24k can print receipts on 3" roll paper using the POS-X line of thermal receipt printers which uses thermal heat to burn print onto the paper.

    Store information entered in PPSS Program Setup (General tab) will appear on each receipt. Entries like "All Sales Final" in the email and website fields will also be printed on receipts. If the store name is too long, shorten it in Program Setup.

    The text can be up to six lines, fewer if there's a 2nd address line, email address and/or web site to be printed.

    In Program Setup > Printers Tab, the font size can be changed for the header and text, and the store name can be printed or not:

    A logo can be printed using POS-X printer settings.


    Installation Notes:

    • The printer connects to the PC via USB. If the printer is not printing after installation, check the port setting.
    • The printer name is 'POS-X Thermal Printer'. (earlier version: 'VENDOR THERMAL PRINTER') The name will appear during installation and in the Control Panel under printers. It is listed as LK-TXX 3.5.1 in Programs in the Control Panel. In Windows Programs the printer's folder is named THERMAL PRINTER.
    • It is necessary to accept the default name for the printer during installation (currently 'POS-X Thermal Printer'). Printers often won't work if the name has been changed.

    Installation Procedures:

    1. Remove the printer from the box and connect it to the PC's USB port. (Note that on some PCs the USB ports on the back or front of the computer may not be functional. If the self test does not work, trying using a different port.)
    2. USB ports on the back of a desktop computer often have more power than the ports on the front. Use the back ports for printers. Use the front ports for mice and keyboards.
    3. Reboot the computer and tap the F8 key before the Windows screen appears.
    4. Under Advanced Boot Options, select 'Disable Driver Signature Enforcement'.
    5. Download the driver (https://www.pos-x.com/download/thermal-receipt-printer-driver-2/). (Don't select Run on the download screen.)
    6. When the download completes, click on Open Folder.
    7. Right click on the installation file and select 'Run as Administrator'.
    8. Click Next.
    9. Click on POS-X Thermal Printer or VENDOR THERMAL PRINTER.
    10. Click on Installation.
    11. Select the correct Windows edition.
    12. Change the port to USB.
    13. Leave 'Rebooting' checked and click OK.
    14. Go to the Control Panel.
      • For XP, select Printers and Faxes.
      • For Vista select Printers.
      • For Win7/8/10 select Device and Printers.
    15. Right click on POS-X Thermal Printer or VENDOR THERMAL PRINTER and select Printer Properties.
    16. On the Ports tab change the port to the highest-numbered USB port and click Apply.
    17. On the same Properties Window, go to the General tab and print a test page.

    PPSS Configuration

    PPSS needs to know which printer will be used for printing receipts. The printer can be a standard ink printer (for full-page receipts) or a thermal receipt printer (for 3" receipts).

    1. Open PPSS.
    2. Click on File on the Main Menu (then Program Setup):

      Click on Printers:

    3. To the right of Print Receipts use the drop-down menu and select 'POS-X Thermal Printer' or 'VENDOR THERMAL PRINTER ' or 'LK-TXX'.
    4. Click Save/Exit.
    5. Close PPSS and reopen it.
    6. Switch to the Sales Work Area.
    7. RIGHT click on a sale and select Print.
    8. If a sale hasn't been entered press F7 to open a Sales Invoice.
    9. Enter a test item and payment.
    10. Click 'Save, Preview, Print'. A receipt should print (and the cash drawer should open if one is attached to the printer).

    If a receipt did not print but a window appeared, the receipt printer is not set as the receipt printer in PPSS Program Setup.

    If settings are saving in PPSS, turn User Account Controls off and make the settings again.


    Tips and Tricks

    Thermal receipt printers use thermal paper obtainable from office-supply stores.

    Paper Specifications: Paper width: 82.5mm; Roll diameter: Max. 83.0mm, Thickness: .065 to .1mm

    Clear Problems. Some malfunctions can be cleared by shutting the printer off, rebooting the computer and turning the printer back on. Print Spooling (or Pooling) is turned off by default and should be left off. Also, USB ports on the front of PCs tend to have insufficient power for proper function.

    Adjust Print Size. In PPSS, go to File then Program Setup then Printers. In the Print Receipts section, change the Header and Text Fonts as needed.

    Print Copies. In the Control Panel, right click on the POS-X listing and select Printing Preferences then click on the Advanced tab. Click on '1 Copy' and set the desired # of copies to print.

    Print Fix. If the receipt is not printing properly check the currency setting in PPSS Program Setup (General tab) and make sure the correct printer is designated in Program Setup on the Printers tab.


    Correct Printer Settings:

    1. Click on Start then Control Panel.
    2. Click on Devices and Printers (Printers in XP).
    3. Right click on the listing for the receipt printer.
    4. Select Printer Properties.

    5. Click on the Advanced tab.
    6. Click on Printing Defaults. (Drag the screen upward if necessary.)
    7. Click on Advanced.
    8. Set paper size to 80 x 297 mm.
    9. Click OK then OK again to close the Defaults Screen.
    10. On the Advanced tab, select 'Print directly to the printer', then click Apply.
    11. Click on Printer Commands.
    12. Uncheck all options to Open Cash Drawer. (PPSS will send an 'open drawer command'.)
    13. For 'Cut the paper' use the drop-down arrow and select 'No Feed'.
    14. Click Apply.
    15. On the General tab, click Print Test Page (lower right). A test receipt should print. If it does not, call for free tech support at POS-X, 800-790-8657.
    16. PPSS sends the print job to Windows which relays the print job to the printer. Windows and printer behavior can vary from one computer to another so if 'no feed' doesn't produce the desired result, try the other options under 'Cut the paper'.

    17. Click OK to exit setup.
    18. In PPSS, Program Setup > Printers Tab confirm that the radio button is checked for 'Receipt Printer' and that the correct printer is designated. The printer name must be exactly the same name as shown in the Control Panel:

    19. Save/Exit.
    20. Always close PPSS and reopen after making settings changes.
    21. Reopen the program and test by printing a sales receipt. (Go to the Sales Work Area, select any sale and click on 'Print Sale' at the lower left.)

    Stop Extra Paper Feeds:

    1. Click on Start then Control Panel.
    2. Click on Devices and Printers (Printers in XP).
    3. Right click on the listing for the receipt printer.
    4. Select Printer Properties.

    5. Click on Printer Commands.
    6. Uncheck all options to Open Cash Drawer. (PPSS will send an 'open drawer command'.)
    7. For 'Cut the paper' use the drop-down arrow and select 'No Feed'.
    8. Click Apply.

    Troubleshooting the EVO Thermal Receipt Printer

    1. Turn the computer and printer off.
    2. Turn the computer and printer on.

      If the problem persists:

      1. Make sure the printer is connected, turned on, has paper and no paper jams.
      2. If the printer won't open, paper particles may have accumulated. Slide the front plate off. Spin the white knob several times in the same direction to lower the blade and open the printer.
      3. Go to Start, Control Panel, Printers. If your printer is not listed in Control Panel/Printers, see Installing the EVO Printer Driver.
      4. Run a test print. (See the printer manual.)
      5. If the self test fails, test the cable (which connects the printer to the PC) with another piece of hardware that is known to work, or try another cable then self test again.
      6. In Control Panel, Printers, delete any printers that aren't being used.
      7. In the Control Panel, click on Device Manager and verify that there are no conflicts (yellow circles with black exclamation points). If there are, click on Start then Help and Support. Search Windows Help for 'conflicts'.
      8. In the Control Panel select Devices and Printers (or Printers in XP).
      9. Double click on VENDOR THERMAL PRINTER or POS-X Thermal Printer.
      10. Click on Printer (upper left) and click on ‘Cancel All Documents’.
      11. Click on Printer (upper left) and click on Properties.
      12. Click on Ports.
      13. Select the highest-numbered USB port that does not have a printer assigned to it.
      14. Click on the General Tab.
      15. Press Print Test Page. A receipt should print. If it does not please contact free POS-X support at 800-790-8657 .
      16. Open PPSS and print a sales receipt.

    Vertical Lines Are Printing

    1. Inside the printer, about an inch down from the tearbar there is a black and gold bar. That is the print head. Clean the print head with a clean rag and alcohol.

    Problem: The printer was working. Now it isn't. Receipts print when the printer is turned off and back on.

    Cause: Windows may be confused about what to do with print jobs: Print them right away or print them later.

    Solution:

    1. Go to Control Panel and select Printers.
    2. RIGHT click on VENDOR THERMAL PRINTER or POS-X Thermal Printer. (That's the EVO Thermal Printer).
    3. Select Properties.
    4. Click the Advanced tab.
    5. Check 'Print directly to the printer'.
    6. Click Apply and OK.
    7. Retry printing a receipt in PPSS.

    Print a Graphic Logo on Receipts

    1. Create a 250 x 250 pixel .bmp (bitmap image).
    2. Go to Control Panel and select Devices and Printers.
    3. Right click on VENDOR THERMAL PRINTER or POS-X Thermal Printer and select Properties.
    4. Click on the Logo Selection tab.
    5. Click on Logo Download then Open File.
    6. Locate and select the .bmp image.
    7. Click on Upload (lower right). A message should appearing confirming the upload and stating that the device must be reset to make the image available for printing.
    8. Close the Upload Screen and reopen it to view the logo under 'Printed Image'.
    9. Adjustments can be made on the Logo-Selection Screen for positioning the logo. Enter a number in 'Number[1-255]' to activate the Start-Logo or End-Logo settings. Change these values to move the print position of the logo.
    10. Select Left, Center or Right from the drop-down menu.
    11. Click Apply and OK to close the window.

    Power Management

    1. XP Pro, Vista and Windows 7/8/10 have 'Power Management'. If the printer has to be turned off and on to resume printing, try disabling power management on USB ports:
      1. Right click on My Computer and go to Properties.
      2. Click on Device Manager (or Hardware Tab then Device Manager).
      3. Expand the Universal Serial Bus Controllers.
      4. Double click the first USB Root Hub and go to the Power Management Tab.
      5. Uncheck 'Allow the computer to turn off this device to save power'.
      6. Do this for all USB Root Hubs.

    If there's continued failure, the printer could be defective but before the delay of returning it or having it shipped for warranty repair, have a local technician test the printer. Often minor things are overlooked like printer connection, port settings, paper loading and jams, spooled print jobs and correct configuration. If a functional printer is returned for replacement or warranty, the hardware distributor will require that you cover all costs (which can be over $100).
